Fine Form Retreats – Booking Terms & Conditions
Oct 31, 2026 · @fineformretreats
These terms apply to every booking for Fine Form Retreats, starting with our retreat at ARC Peaks, Peak District, on 21–23 May 2027. By paying your deposit, you agree to them. We’ve kept them as short and plain as we can: the retreat has no rules, but the booking needs a few.
Who we are
Fine Form Retreats is run by Pettener & Co Limited, Company Number 17528988. In these terms, “we” and “us” mean Fine Form Retreats, and “you” means the person booking a place.1. Booking and payment
Your place is confirmed once we receive your 50% deposit and send you a booking confirmation by email.
The remaining 50% balance is due by 1st March 2027. We’ll send you a reminder 2 weeks before.
If the balance isn’t paid by the due date, we may treat your booking as cancelled by you, and section 2 will apply.
If you book after 1st March 2027, the full price is due at the time of booking.
Prices are per person and include VAT . They include what’s listed on the booking page under “What’s included”, and nothing else.
Payments are taken by Bank transfer – Monzo business Account.
2. If you need to cancel
Please tell us in writing by email. The date we receive your email is the date we use.
When you cancel
What you get back
Before 1st March 2027
Everything except your deposit
On or after 1st March 2027
No refund unless we recover costs
No-show, or leaving early
No refund unless we recover costs
Your deposit is non-refundable, because it secures your room and lets us commit to the venue. If we can fill your place from a waiting list, we’ll refund what we can or offer a credit towards a future retreat.
3. Transferring your place
Can’t come? You’re welcome to pass your place to a friend instead of cancelling. Just let us know their name and details by 30 days before the retreat. They take on your booking and these terms.
4. If we cancel or change things
If we have to cancel the retreat for any reason, we’ll refund everything you’ve paid us in full, or offer you a place on a future retreat if you’d prefer.
We’re not responsible for other costs you’ve paid, such as travel. We recommend travel insurance (section 8).
We may make small changes to the programme, timings, teachers or menu. We’ll always try to keep the weekend as described.
If we have to make a big change, such as a new venue or new dates, we’ll tell you as soon as we can. You can then accept the change or cancel for a full refund.
5. Health and taking part
Classes are for all levels, and every session is optional.
Please tell us about any injuries, health conditions or pregnancy when you book, or as soon as anything changes. We’ll adapt classes for you. We’ll keep what you tell us private and use it only to keep you safe.
If you’re unsure whether the retreat is right for you, please check with your GP first.
Listen to your body. You take part in classes and use the facilities at your own risk. Stop and tell your teacher if anything feels wrong.
The pool and hot tub are unsupervised. Please follow the venue’s safety rules, and don’t use them after drinking alcohol.
6. Rooms, food and the venue
Rooms are allocated in the order bookings are made. If you’ve asked to share with someone, we’ll put you together. If you book a shared room on your own, we’ll pair you with another guest.
Please tell us about dietary needs and allergies when you book. We’ll pass them on and do our best, but we can’t guarantee a kitchen completely free of any allergen.
The house is non-smoking and dog-free. Please respect the venue’s own house rules, which we’ll share before you arrive.
You’re responsible for any damage you cause to the venue, beyond normal wear and tear.
Please look after your belongings. We and the venue aren’t responsible for anything lost, stolen or damaged.
7. Looking after each other
No rules, except one: be kind. If someone’s behaviour puts others at risk or spoils the retreat for them, we may ask them to leave, without a refund.
8. Insurance
We strongly recommend travel insurance that covers cancellation, so you’re protected if you can’t come for reasons beyond your control.
9. Photos
We may take photos and short videos during the weekend to use on our website and social media. If you’d rather not appear, just tell us and we’ll make sure you don’t.
10. Our responsibility
Nothing in these terms limits our responsibility for death or personal injury caused by our negligence, or anything else the law doesn’t allow us to limit. Otherwise, our total liability to you is limited to the price you paid for the retreat.
11. Your information
We use your details only to manage your booking and keep you safe on the retreat. See our Privacy Policy for more.
12. The legal bit
These terms are governed by the law of England and Wales. If something goes wrong, please talk to us first at hello@fineformretreats.co.uk. We’d always rather sort it out together.
